In order to improve access to university budget managers, AISS has created a very user-friendly web based portal that will allow you to monitor your budget from anywhere and at any time. You must first log into the university’s MyUSF portal. (Show me how)

Accessing the Requisition Approval Screen
There are two ways a user can access the Requisition Approval process, when notified you have an approval waiting in your queue or using the administrative portal menus.
Approval Waiting Message:
When you log into MyUSF portal there will be a “You Have Messages” link in the black box in the upper right corner as shown below. This message indicates you have a Banner generated message waiting for you. These are generally actions such as approving a request for a purchase order waiting for your action.

Clicking on this link will take you to you’re my Message and Reminders screen as shown below. Notice it is indicating you have 1 PO request to approve. Clicking on the link will take you to PO Approval Form.

Using the Finance Menu:
You can also access the Requisition process once you are in the Administrative portal by:
Clicking on the Emplyee tab, then click on budget resources from the right side menu. Place your mouse over the Finance option and move down to the Purchasing option and finally click on the Requisition Approvals selection.

You will then see the requisition approval screen shown below, listing any requistions that need to be approved.
How Do I Approve a Request for a Purchase Order
Once you entered the Requisition Approval process a form similar to the one shown below will appear on your screen. Each individual request for PO will have its own approval form.

Form Explanation:
USF Requisition Approval Form Section:
The top section of each approval form is the standard Banner information that was entered into the request for PO form (FPAREQN) within the Banner program.
Accounting Information Section:
In this section you will see the accounting information associated with the request. What has been added are the information links to the budget org now appears on your approval form. The Org Available (NPE only) displays the amount of the Non Personnel Expense funds available in your budget that can be used to cover the request. The Account Available information depicts the funds available in the account line you are charging this purchase request towards.
Commodity Lists Section:
This section lists all of the items that are part of this request for PO.
Approval Section:
Finally, you have the ability to approve or disapprove this request by clicking on the appropriate button.
Requests that are NSF (Non Sufficient Funds)
There has been no change to the policy regarding purchase request that do not have sufficient funds to cover the cost. What has changes is how PO requests that do not have enough money to cover them.
As you can easily see in the figure below, any requests that are NSF will have a different appearance to immediately tell you that the request does not have sufficient funds.
- The approval boxes background turns to red.
- The Approval button text changes to indicate that the request is NSF.
- In the accounting Information section the letter Y appears under the NSF box.

Document Approval/Disapproval Status:
Once you have either approved or disapproved a PO request the user is giving the ability to add a comment to the approval as shown below.

Requisition Approval:
Once you have completed the comment option you should receive a confirmation message as shown below.
